The information we collect
We only collect the personal information we need. This may include:
- Enquiry details you give us through our contact forms, by email or by phone, such as your name, email address, phone number, company name, the service you’re interested in, your timeline and the details of your project.
- Correspondence: records of emails and messages we exchange with you.
- Technical information: as with most websites, our hosting provider may automatically record basic server logs (for example your IP address, browser type and the pages requested) for security and to keep the site running properly.
- Form security information: when you send an enquiry, we record your IP address and the page you sent it from alongside it, and keep short term counters (holding a scrambled form of your IP address, not the address itself) so that our forms can limit repeated or automated submissions.
- Spam protection: our forms use Google reCAPTCHA to check that submissions come from a person rather than an automated program. When you start using a form, reCAPTCHA collects information such as your IP address, browser details and how you interact with the page, and sends it to Google for analysis. Google’s Privacy Policy (opens in a new tab) and Terms of Service (opens in a new tab) apply.
How we use your information
- To respond to your enquiry and arrange a project scoping call.
- To prepare proposals and quotes, and to deliver and support any services you ask us to provide.
- To keep appropriate business records and meet our legal and accounting obligations.
- To keep our website secure and working properly, and to protect our forms from spam and abuse.
We will not add you to a marketing mailing list without your consent, and we never sell your personal information.
Our lawful basis
We process your information because it is necessary to respond to your request and take steps before entering into a contract with you, because we have a legitimate interest in running and securing our business and website, or because we are required to by law.
Who we share it with
Your information is handled by our own team at Peterborough Website Design. Each enquiry is stored securely on our website’s server and in our customer relationship management (CRM) system, so that we can reply and follow it up. We may also share it with trusted service providers who help us run our business (such as our website hosting, email and CRM providers), and only where they are bound to keep it secure and use it solely on our instructions. We may disclose information where required to do so by law.
Our forms also use Google reCAPTCHA, so the spam protection information described above is sent to Google, which provides that service under its own Privacy Policy (opens in a new tab) and Terms of Service (opens in a new tab).
How long we keep it
We keep enquiry information only for as long as we need it to respond to your enquiry and follow it up, and we regularly review what we hold so that nothing is kept for longer than necessary. If you become a client, we keep project and billing records for as long as needed to deliver and support the project and to meet our legal and accounting obligations.
Your rights
Under UK data protection law you have the right to access the personal information we hold about you, to ask us to correct or delete it, to restrict or object to how we use it, and to request a copy in a portable format. To exercise any of these rights, contact us using the details above.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put things right first.
